When an invoice has been processed manually, as a financial employee, you have three options to move the invoice to the next step in the process. These options are described below:
Submit for Approval
By submitting an invoice for approval, it will be sent to the designated budget holder. If a budget holder cannot be selected based on the authorisation scheme, the supervisor of the reference person will act as the approver. This ensures that the invoice is reviewed by an authorised person before further steps are taken.
Submit for Validation
If an invoice contains errors and you, as a financial officer, want to validate the data according to the set validations, use this option. The application will then try to handle the invoice automatically. This is useful when the purchase order invoice requires corrections in the header data, such as an incorrect order number or contract number. For purchase invoices, we recommend using ‘submit for approval’ directly
Submit for Automatic Approval
This option is only available if the invoice falls within the set tolerances and all requirements, such as currency, supplier, and administration, are correct. The prior approval remains valid, so no further approval circulation is needed. This significantly speeds up the process, as the invoice can be processed directly without additional approval if applicable.
