Additional data when manually matching  

Do you sometimes have invoices where an automatic match fails? In that case, the invoice enters the “manual match” status, which is your signal to check the data. We have now made it easier to look up the correct receipt lines with the new functionality “Additional data on manual matching”.  


Within the screen to manually find the correct order or receipt lines, we now also show more information from the external order system. Think of information such as external item number, calculation unit, dimensions, destination, etc. You can turn this information on and off as extra columns, you can change the order of the columns and thus, as a user, completely customise the screen. The settings are saved personally, so each user can create his own layout. 


Ask advice in the approval process

As budget holders, it is possible to ask colleagues for advice on specific invoices. This is possible with the “Ask advice” functionality.

Difference between asking advice and blocking invoice approval:

With “Block invoice approval”, you really choose to pause the process because, for example, you do not agree with the goods delivered. The invoice cannot be further processed until you remove the block yourself. This also means that you are expected to resolve it with the supplier, for example.


For “request advice”, you wait with approval until you have received more information from a colleague. Useful if you are budget responsible, but have left procurement to someone in your team. In that case, you don't have all the details in your head and can check with your colleague whether the invoice is actually correct.  


Purchasing: add multiple recipients

Do you have several colleagues who receive incoming orders? For example, in the warehouse or at reception? The “Add multiple recipients” feature now allows multiple people to book receipts. You can add one or more “individual” colleagues (all subscriptions) or create receipt groups (from 🌟premium). You can then apply these to the purchase request. The difference between multiple people and groups is that with multiple people you make your own selection that can vary from time to time, a group is a predefined selection that you add as a whole.

Purchasing: Send copy order

Sometimes you want a colleague or a department to receive a copy of the order, to let them know that an order has been initiated. The feature “Send a copy of the order”, is made for exactly this purpose. It is always an internal copy and you can choose one or more “individual” colleagues (all subscriptions) or user groups (from 🌟premium). 


Purchasing: Advanced search buyer

Advanced search is now possible within the purchasing application. This new functionality displays all purchase orders and requests within an administration. You can filter, for example by applicant or supplier, by period or other data. You can download the overview as a .csv file for easy internal sharing.


Integration Expansions Q1 2025 ⚙️

Easy1 collaborates with ERP/accounting systems and we continue to expand our integrations. We have established a connection with Exact Multivers and Exact Max (generic interface), and it is now possible to create a combination link between Easy1 and Isah Logistics and Exact Online.

The integrations with Exact Globe, Exact Online, and Microsoft Business Central have been improved, with data now being retrieved in a paginated manner for better performance.

The integration with Isah Finance has been improved. Document export is now possible. The booking date is now used to determine the period and year. The G-account functionality has been adjusted, the booking number provided to Isah Finance has been shortened to avoid error messages. If an invoice is directly approved through matching on the payment plan, it will be unblocked.


Mobile Updates 📱

Are you already using our mobile application? We have also implemented several improvements here.

  • It is now possible to manually match or create credit card expenses from the credit card period.
  • We have released a fix for very large lists that were filtered using a lookup list.
  • Photos are getting larger, that selfie needs to be super sharp, of course. But photos for use in our app can be smaller, they are now compressed if they are too large.
  • You can now sort expenses under a bundle in multiple ways for better overview.

Sharing invoices and asking questions

Do you ever download an invoice image in Easy1 to email it to a colleague to ask a question about it? That will soon be a thing of the past, from now on you can:

  • Select an invoice and share it with a specific user
  • Ask a question in the notes In both cases, the user receives a notification and communication is logged with the relevant invoice.

Quick and Efficient Clarification on Invoices

Sometimes you may receive invoices that you don't know what to do with. For this, you need information from another department, such as Warehouse or Purchasing. Soon, you will be able to easily ask a question to colleagues from the warehouse or purchasing directly via the invoice. You will receive a notification when your colleague has responded. Both of you will have the right context and all the information together. All communication will be logged with the relevant invoice.

This functionality will go live at the end of April. You don't need to activate anything, it will automatically become visible in Easy1.
